From the perspective of the WCEU team, the day was a success, went smoothly and everyone had a good time.

But we know we could have done a better job and there’s always room for improvement! WCEU 2020 was also a first time when online Contributor Day at large scale did take place. That’s why we want to hear feedback from team reps and facilitators.

What we could have done differently or better? What worked and what didn’t work? Is there something you would like to see changed when other WordCamps do organize online Contributor Days? Any good practices your team had during the day and want to share those with others?

First of all, thank you so much for providing us with all the details we asked for, especially within such a tight timeframe and with limited information. The whole WCEU team was thrilled to receive the excellent video introductions from the 15 different Make teams that will be joining us on the day.

We are finally ready to share a detailed update about how the day will work and have a few final requests. This is a long post, but please read it carefully as it contains important information for all members of the Make teams helping at Contributor Day.

WCEU Online 2020 Contributor Day: Submit your introduction videos, office hours times and introductory session needs this week

Only three and a half weeks to go. How exciting!

WCEU team has asked every Make team to prepare for the Contributor Day in different ways. Some things we have asked are tightly related to WCEU, with the intention to help attendees get most out of the day and ease the workload of Make team facilitators during the day as well.

Because the team is organizing first-ever virtual Contributor Day at this scale (500 anticipated contributors) and the day is just around the corner, we need the information from each Make team to finalize our plans.

Deadlines for providing the information for us:

  • Thursday 14 May 24:00 UTC (midnight UTC) Make team video introduction submissions
  • Monday 18 May 24:00 UTC (midnight UTC) other information that was asked:
    • Scheduled European timezones friendly office hours taking place in SlackSlack Slack is a Collaborative Group Chat Platform https://slack.com/. The WordPress community has its own Slack Channel at https://make.wordpress.org/chat/. between 25 May and 3 June, targeted for new contributors
    • Need for an introductory session to help onboard new contributors after opening remarks
    • Rough estimate of how many working groups your team needs during the day

These things are needed by the deadlines because we are sending the first email for Contributor Day attendees during next week (week 21), featuring all Make teams attending to Contributor Day and providing the information about how to get ready for contributing.

Teams that have not provided us with these details by the deadlines, are considered to not take part in the WCEU 2020 Online Contributor Day.

A longer update on how the day is going to work will be shared with you in a few week’s time. In short, the tools are going to be:

  • Youtube Live for opening and closing remarks. Pre-recorded introduction videos will be used during opening remarks. For closing remark updates, a facilitator from each Make team will be invited to the Zoom call that is relayed to Youtube Live.
  • Making WordPress Slack will be used for communications
  • Introductory sessions are held in Zoom, where we also provide a possibility to have meetings on a request.

Times

Contributor Day will take place on 4 June 13:00-18:00 UTC.

Tickets / registration

Registration will be opened in a few days, follow our website and Twitter account for official announcement.

During the WCEU Online 2020 registration, we will ask whether attendees plan to attend to Contributor Day. Attendees will choose their preferred team, so we can provide an estimate on how many contributors you can expect to work in your team during the day. If we start reaching more than 500 attendees for Contributor Day, the option to mark interest to attend will be removed.

You don’t need to worry about getting your Make team’s key contributors to register before the limit of 500 attendees is reached, we have taken it into account and ensured enough seats for them 🙂 If someone in your team couldn’t mark their interest during registration, let us know via email to contributing@wp-europe.org.

It’s important that everyone planning to attend WCEU Online 2020 Contributor Day does the registration! We will send instructions and useful links for attendees before the event.

Platforms and tools we are using

Existing contributors are already in Making WordPress SlackSlack Slack is a Collaborative Group Chat Platform https://slack.com/. The WordPress community has its own Slack Channel at https://make.wordpress.org/chat/. and we do want to get new contributors there as well, so they will come straight to space where contributions continue after Contributor Day. During the day, Make teams use their existing Slack channels for communication accompanied by a new general Contributor Day channel dedicated to helping attendees and for general coordination.

In addition to Slack, teams have the opportunity to have ad-hoc video calls when needed. WCEU team will provide the Zoom accounts and schedule meetings on a request.

Opening and closing remarks will take place on Youtube Live.

Instructions to record your team introduction

The organization team for the WordCamp Europe Online 2020 is working to create an enjoyable Contributor Day. To smooth the onboarding of the new contributors, we are asking each Make team’s Reps to create a short video, no longer than one minute, that highlights:

  • who you are and which team you’re representing
  • what the team does
  • if there are any focuses during the WCEU 2020 Contributor Day
  • how contributors can help your team
  • any other relevant idea that you see fit for your team

We aim to publish these videos in advance, to help contributors decide on the team they plan to join. They will be featured on the official website for the event and in the Contributor Day opening remarks taking place in Youtube Live.

Given the tight schedule, we are asking the teams to submit the videos before 8 May 2020, so there’s room for review, add graphics to start and end, and ensure that contributors have time to decide.

Please, submit your videos observing the following guidelines:

  • You can use any camera available, even your phone, to record the video. If you would like to record from the computer but don’t know how here are a few simple tutorials for Mac users, Linux users, and Windows users.
  • Avoid using a busy background – both audio (background noise) and visual (stripes, zigzags, virtual backgrounds, and other people).
  • Find a place with good lighting. Avoid having the main light source on your back.
  • When possible use an external mic for better audio results.
  • Take the time to send a meaningful message.
  • Submit the video via a cloud service like WeTransfer (no signup needed) to contributing@wp-europe.org. If you had a manuscript, please send it too.

WordCamp Europe 2020 Contributor Day Update

You have most likely heard that WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Europe 2020 has moved online, after the in-person event in Porto was postponed to 2021. Contributor DayContributor Day Contributor Days are standalone days, frequently held before or after WordCamps but they can also happen at any time. They are events where people get together to work on various areas of https://make.wordpress.org/ There are many teams that people can participate in, each with a different focus. https://2017.us.wordcamp.org/contributor-day/ https://make.wordpress.org/support/handbook/getting-started/getting-started-at-a-contributor-day/. for WCEU will take place as planned, in just seven weeks time on 4 June. It will be the first time a WordPress contributor event on this scale will take place completely online.

WCEU Online team is working really hard to make plans, preparations, and getting all details ready. We will be sharing more on the details about the Contributor Day, the tools and platforms as details get worked out. We will keep you regularly updated.

Our goal to leave no contributor behind continues as the event for this year moves online. We want to help attendees become longer term contributors to the project and enthuse others to take part too. We know that it may be harder for new contributors to join in for the first time virtually.

To create a welcoming and positive experience, especially for new contributors, we are asking help from Make team reps and experienced contributors.

Onboarding before the contributor day

Because Contributor Day will be shorter than usual, our goal is to onboard the majority of new contributors before the actual event day. We will pay special attention to promoting the Contributor Day Orientation tool to help attendees choose the right Make team for them and on providing guides on setting up needed accounts and tools.

How each Make team can help:

  1. Update the “Getting Started at a Contributor Day” page in your handbook (example from Polyglots). This page should give a general idea of what and how the team works during Contributor Days. If you don’t have such a page, can you please create one.
  2. Schedule a special office hour in SlackSlack Slack is a Collaborative Group Chat Platform https://slack.com/. The WordPress community has its own Slack Channel at https://make.wordpress.org/chat/. specifically targeted for new contributors. At this time, experienced contributors can be available to help newer members, for example, in setting up the tools. These office hours should take place between 25 May and 3 June 2020 in a time that is friendly for European timezones. When the time for office hours is chosen, please inform the WCEU Contributor Day team in the comments. We will gather the responses into one blog post.
  3. Choose an experienced contributor(s) from the team to record a short video introduction about your team. These videos will replace the traditional live introductions given during opening remarks and also used in the Contributor Day Orientation tool. Detailed guides for making these videos will be shared in the coming weeks.

Better support during the day

It can be harder to know if a contributor is stuck or needs more support during an online event. We want to try and avoid new, enthusiastic contributors leaving during the event. We want to work with you to help make the experience more positive and fun.

How each Make team can do to help us avoid prevent this:

  1. Divide the tasks planned for the day between ‘good first tasks’ and ‘tasks for experienced contributors’. Make sure that every new contributor gets an easy task first. An example of how the Community Team does this: Call for ideas and plans for the day.
  2. Choose at least two experienced contributors to facilitate the work during the day, to help new contributors and to answer their questions quickly and happily.
  3. Could you plan an introductory session to help onboard new contributors to your team? The team-specific introductory sessions will take place after opening remarks.

Tasks for Team Reps

We are also asking Team Reps for your suggestions on how the day should be organized, and what tools and platforms we will need. We know we’re asking quite a lot in a short timescale. We really want to work with the Make WordPress teams to create a successful Contributor Day. It is the first time we have attempted an event on this scale online, and we know working together we can produce something awesome.

All the tasks for the Team Reps

  1. Update the ‘Getting Started at a Contributor Day’ page in your handbook or create it.
  2. Schedule European timezones friendly office hours taking place in Slack between 25 May and 3 June, targeted to answer questions from new contributors and help them to set up tools.
  3. Choose contributor(s) from your team to help and start thinking about the content of your team video introduction. We will share the details about this in the coming weeks.
  4. Plan your team tasks for the day in advance and keep a separate list of good first tasks.
  5. Look for experienced contributors that will facilitate and help other contributors during the day.
  6. Talk with the team about the need for an introductory session to help onboard new contributors and decide if it’s something your team will do.
  7. Make a rough estimate of how many working groups your team needs during the day. Working groups are contributors working together with specific tasks or features, who will need a dedicated virtual table/space for discussion. This information is crucial for WCEU in planning platform usage and layout.

The WCEU 2020 Online Contributor Day organizing team will contact all reps in the following weeks to make sure that this information has reached every team. We will start collecting the information needed to finalize our plans starting at the end of April.
