In order to keep the WP15 social media stream family friendly, we need the help of some moderators. A lot of people came through, so thank you everyone!

Discussion: should Community Self-Training be mandatory?

The Community team worked on a series of self-training modules and quizzes. We ask new Community organisers to go through those more and more, but right now we don’t have the resources to grade all of them if they are made mandatory. Some people proposed to turn the quizzes in multiples choice questions instead of open questions to save time in the grading, but that would require a complete re-write of the modules.

The evening chat especially expanded on the initial topic and discussed the fact we could work more “mission & values” content into orientations, so people will be aware and aligned with those.

We haven’t reached a conclusion, but some good ideas came out of the discussions and they will be recapped in the post itself.

Everyone is busy and there are no major roadblocks. We have a lot of requests coming in due to the 15th anniversary of WordPress and we are working through them.

WordPress 15th Anniversary

We’re heading towards the 15th anniversary of WordPress and plans are coming along well. Reminder about the announcement post and the central site is live at wp15.wordpress.net.

Lots of different events are being planned:

  • BBQs in the park
  • Quiz nights
  • Networking events

If the wp15 site is not yet translated in your own language, get in touch with your General Translation Editor (full list is on https://make.wordpress.org/polyglots/teams/) so we can have the content localised!

WordCamp Nordic Proposal

We’re looking for more feedback here from deputies, so please leave a comment.

After taking into consideration the previous discussion about Regional WordCamps and getting the answers we needed from the organisers, WordCamp Nordic is a go! Rocìo Valdivia will mentor them.

This sent us into a tangent about how we discuss things, in particular:

  • we discussed Regional WordCamps in the past, and although this is a WordCamp that fits perfectly into that description so it could have been approved without the public discussion, we feel that being 100% transparent is the best policy. Nevertheless we need to be careful not to become blockers when we discuss the same issue again and again. It’s a balancing act.
  • We encourage local communities to take ownership and if their processes and decisions can be useful for the global community, we would love them to post about them in the Community P2, so everyone can learn.
  • Please comment before decisions are taken! Every feedback is important and we’d love to hear from different point of views.

A meetup is typically a chance for local WordPress users to get together and share new ideas and seek help from one another. Searching for ‘WordPress’ on meetup.com will help you find options in your area. groups so we’re likely receiving an influx of meetup applications, as we had reached out to groups that appeared inactive, and we’ve invited interested members to apply to organize. We are calling all deputies to vet at least a couple of applications to help with the backlog!

WordPress 15th Anniversary Parties

The WordPress 15th anniversary will be on May 27, 2018 — let’s get ready to celebrate!

We have a new page in the handbook with all the information and a website. Meetups that are in the WordPress chapter can ask for special swag and help with a venue.

Contributor Day at WCEU is always busy so we need people to lead the table. We have two people at the moment and it would be great to have also a third one. We will post in our blog ideas about projects we want to tackle on the day and will go on from that.

At WCEU this year there will be also a “Community Room”, a place during the conference for all the other attendees who are not familiar with contributing to get in touch with the different teams. We need more info on this from the WCEU community team, to include it in our plan.

New WordCamp ticket registration fields

Three new fields were added in the ticket registration questions, regarding life-threatening allergies, special accommodation needs and Code of Conduct.

The questions have different flows that were designed to minimise the amount of information with store and, in the CoC case, blockBlock Block is the abstract term used to describe units of markup that, composed together, form the content or layout of a webpage using the WordPress editor. The idea combines concepts of what in the past may have achieved with shortcodes, custom HTML, and embed discovery into a single consistent API and user experience. the user to purchase a ticket if they don’t specifically agree with it.

Moving WordCamp Ticket Sales from PayPal to Stripe

We are discussing the feasibility of switching to Stripe as the default gateway while using PayPal as an optional alternative, with a view to eventually deprecating PayPal entirely and switching to Stripe as the only coreCore Core is the set of software required to run WordPress. The Core Development Team builds WordPress. gateway in use.

A decisions hasn’t been made right now.

Code of Conduct Survey

The survey went live after months of hard work done by the CCoC working group. It was open for ten days. After it was published there were a number of comments in the post, unfortunately we can’t change the survey after people have answered it because it will invalidate the results.

WordCamp Nordic Proposal

Denmark, Finland, Iceland, Norway and Sweden put together a proposal for a regional WordCamp to be held in Helsinki in 2019. The deadline for this discussion is Friday, 27 April – at that stage we will summarise the comments and move forward with the best decision based on what we have discussed.

We are facing some work overload. We have lots of applications for WordCamps and Meetups (yay!) coming in every day: all the deputies are busy and we hope we can have more people in our team soon.

WordCamp Volunteer Guidelines relating to GPL

The issue is around “a person works for a marketplace that sells non-GPLGPL GPL is an acronym for GNU Public License. It is the standard license WordPress uses for Open Source licensing https://wordpress.org/about/license/. The GPL is a ‘copyleft’ license https://www.gnu.org/licenses/copyleft.en.html. This means that derivative work can only be distributed under the same license terms. In general, we would like to able to have these volunteers, as long as they don’t represent the non-GPL compliant company they work for during the event, but this seems to be difficult to implement during the event itself.

WordPress Community Code of Conduct Survey Draft

Final draft of the survey about the Code of conduct was presented to the team, there were no objections so the the group working on this will go on and schedule it.

WordCamp Fundraising Research

A new working group is coming up! The scope is to research the methods and practices of organizing teams that have been successful in their fundraising and then report back to the global community team with the results. The project is ongoing.

Guidelines for Speaker Thank Yous

Speaker dinners and speaker thank yous have become commonplace components of the WordCamp model. The origin of the speaker dinner was twofold: to ensure that all speakers were in town and ready to speak, and to thank them.

We discussed how we feel about a proposed guideline of the per day ticket price for speaker gifts, and other concerns or ideas.

The discussion is now closed, will be summarised soon and, if needed, new guidelines will be posted.

Proposal to Simplify Training for WordCamp Mentors

We are in serious need of more mentors for WordCamps! The post proposes to simplify the training that potentials mentors go through, and during the chat we expanded more on the “encouragement and support” for people that are interested but might feel that mentoring is a bit intimidating.

We are therefore thinking of a marketing campaign with the following message: “mentorship is not hard, it’s a rewarding experience for people who would like to help with it and eventually we are doing a good thing spreading our knowledge to others”.

Changing the time of the Community Team Chat

Lately attendance dropped in the 8:00 AM UTC chat so we voted for a new time slot: from March 15th the chat will be at 11:00 AM UTC.

A Trello Board for the Community Team

After discussing the matter in a previous chat, we decided to go on and try TrelloTrello Project management system using the concepts of boards and cards to organize tasks in a sane way. This is what the make.wordpress.com/marketing team uses for example: https://trello.com/b/8UGHVBu8/wp-marketing.. We would like to open a .org workspace for all the teams, with a .org email account. We will announce it when it’s done.

Calling European WordPress Communities

WCEU had been doing a terrific job at promoting European WordCamps throughout the year: the proposal is to have a form in the global WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Handbook where WordCamps can submit their request for help so the Communication WCEU Team can help.

A few objections were raised on the time frame (does the team works year round? Can they guarantee that?) and the fact that next year’s team might want to do things differently. The issue is still open.

Open Floor AM Chat

The open floor in the morning chat brought up the topic of Women’s Groups inside the WordPress Community events.

Some Meetups have Women Who WordPress or Women Of WordPress dedicated events, we discussed the idea of integrating stand-alone groups.

The topic of events focussed on women was discussed in the past: some think these events are non inclusive by definition, while others see this as a great place to start your path as a meetup attendee in an environment that feels more safe. While no one objects to an event focused on women where everyone is invited, the jury is still out on events that are women only. The plan is to post about this in our blog.

How should we handle dormant meetup groups?

Many meetup groups in the program are inactive or dormant and we’d like to work out how we should manage them going forward. We have a proposal to try and reach out to understand why the events stopped: we will send an email to the organisers first and then if we don’t get any replies we will reach out to the whole group. If no one is interested in running the group, we will remove it from the chapter account. We are working on the copy to make it as clear and useful as possible.

In the comments there was an additional proposal to do some roundtables on topics that could be helpful for other organisers. The proposal is now a plan! There are four roundtables scheduled, starting March 7th: help us spread the word 🙂

How should we add content to meetup pages in the new design?

The new meetup.com design removed Pages, where we stored all sorts of important information for our groups, starting from the Five Good Faith Rules. We decided to link from the About section to relevant Handbook pages, so all new groups will be created like that. We also updated the handbook for the Deputies.

How should we handle secure access for inactive deputies?

We are also looking into ways to handle secure access for inactive deputies to HelpScout and the P2P2 P2 or O2 is the term people use to refer to the Make WordPress blog. It can be found at https://make.wordpress.org/.. Our concern is privacy.

A proposal has been made: we will demote them in HS and the P2, so in case they become active again it’s easy to give them their access back.

We always kick things off with a deputy check-in: everything is going smoothly for everyone around the world. There are no roadblocks and everyone is going on with their tasks, according to the time we have available.

We had a few items in the agenda:

Email addresses and support queues for working groups

In experimenting with our team’s new “working group” model, it’s become apparent that some groups will need ways to communicate with the organiser community in an official capacity.
So we’ll be setting up new mailboxes in HelpScout for different queues. To do so we will upgrade from free to Standard plan, which means we can also use Workflows, connect with the APIAPI An API or Application Programming Interface is a software intermediary that allows programs to interact with each other and share data in limited, clearly defined ways. and a bunch of other fun things.

We are all in agreement that this is an improvement for our workflow.

2018 goals for the global community team: suggestions time!

We will do a summary post and prioritise.

This discussion brought up another one: how do we track our progress on all these tasks?

We agreed we will try a TrelloTrello Project management system using the concepts of boards and cards to organize tasks in a sane way. For 2017 we will check the progress against the summary of goals for last year.

Our main focus at the moment is making a list of 2018 goals: everyone is invited to share their suggestions in this post.

  1. Global Community Team Limited Availability: the Automatticians team won’t be available between January 21st and 26th. Have a great team retreat folks!
  2. Calling European WordPress Communities: this is a project from the fine people of the WordCamp Europe organising team, we are spreading the voice!

Finally, the open floor of the second chat brought out an interesting topic: raising the number of sponsored volunteers involvement in the project. Andrea Middleton is working on a cross-team proposal and she will post it here when it’s ready.

We have a very long list of applications, so if you are a deputy please see if you can land a hand in HelpScout.

Community Team Update – July 20th

The community team has a bi-monthly chat and we post recaps of them in our blog. This post is a summary of the updates from there.

Decision making process

This was mentioned a lot in the past few months. We would like to make it clearer for everyone how decisions are taken, how to deal with threads in this blog, who is involved, how, etc… We started a thread to collect feedback, deadline is August 3rd, in time for our next chat.

After collecting feedback from the Indian community on how to deal with different payment gateways for CampTix, @coreymckrill proposed a solution .

Regional WordCamps Take 2
We are looking into adding guidelines for regional WordCamps. The thread will be open until July 26, @andreamiddleton will summarise it.

Contributor Badges as Stickers for All
We are exploring the possibility to print Contributor stickers and send them to the WordCamps that might require them. In addition we are working on a new procedure to send swag. @courtneypk is collecting feedback and quotations.

Misc

  • Call for deputies! We have some applications to vet.
  • Get involved flyer. We will add a new page in the Handbook with the files, so the different locales can work with them. @casiepa @yaycheryl will work on it, with help from @karmatosed if needed.
