After an Online Workshop

Once an online workshop has wrapped up, please go through the following post-event tasks.

Record attendance

Once you have completed an online workshop, please make sure to update this sheet with the event date, title, link, RSVP number, and actual attendance number: https://docs.google.com/spreadsheets/d/1PbhrHZPZCuK6khVAiIOuJpnjp2-ccpqb04Ohx2NZY80/edit#gid=649766330

Keeping this up to date ensure that we are tracking accurate numbers of attendance over time.

Upload recording to WordPress.tv

If you have recorded the online workshop (not a requirement for every session) then please upload the video to WordPress.tv. Recordings on Zoom are available at zoom.us/recording if you are logged in to the correct account. From there you can download the video as well as the caption/subtitle file – you will need both of these for WordPress.tv. Please remember to delete the recording files from the cloud after you’ve downloaded them, as there is a limited amount of space available on the account.

Cloud recordings on the shared Zoom account will be automatically deleted after 30 days.

Upload video

You can follow step 1 of this guide for uploading the video to WordPress.tv: https://make.wordpress.org/training/handbook/tutorials/publishing-a-tutorial/#1-submit-your-video-to-wordpress-tv – the only additional item is to also select “Learn WordPress Online Workshops” as a video categoryCategory The 'category' taxonomy lets you group posts / content together that share a common bond. Categories are pre-defined and broad ranging..

Upload subtitles

Once the video has been approved you can upload the subtitles. You will need to convert the format from vtt to ttml and then upload the file to WordPress.tv. This guide (steps 5 & 6) will show you how to convert the file and upload it to the video: https://make.wordpress.org/training/handbook/tutorials/tutorial-subtitles-and-transcripts/#5-convert-the-srt-file
