Proposal: Sustainability Team Reps for 2025

Usually, WordPress teams vote for their Team Reps every year, whether or not the current reps want to continue. However, we (as a team) have the freedom to decide and adapt how to proceed.

There’s a trend for Team Reps to stay for two years, using the second year to train new reps. In the Community Team, for example, there are four Team Reps, so two are staying next year while the other two step down. They’re currently nominating two new reps who will be trained by the remaining reps.

As the year is coming to an end soon, we would like to open the discussion on how to proceed in 2025.

Open invitation and proposal for 2025 Team Reps

Expectations for team reps can vary from team to team. In general, Sustainability team reps help to:

  • Prepare for and run the sustainability team’s bi-weekly meetings in SlackSlack Slack is a Collaborative Group Chat Platform https://slack.com/. The WordPress community has its own Slack Channel at https://make.wordpress.org/chat/..
  • Providing as-required updates to other contributor groups.
  • Generally representing the sustainability team across the project, or in the occasional chat.
  • Maintain a high-level perspective and awareness on current team projects.

Team reps should expect to dedicate, at least, 1 to 2 hours per week to these activities.

Any active sustainability contributor can be a team repTeam Rep A Team Rep is a person who represents the Make WordPress team to the rest of the project, make sure issues are raised and addressed as needed, and coordinates cross-team efforts., so we invite everyone to give it some thought and nominate themselves as Team Reps in the comments of this post if they think they are a good fit for the role.

Self-nominations for Sustainability team reps will be open until January 7th, 2025 11.00 UTC.

The four actual team reps (@Nora Ferreirós, @Nahuai Badiola, @Csaba and @Thijs Buijs) are willing to keep their role as Team Rep for another year, officially until the 31st of December 2025.

Therefore, if nobody nominate themselves in the comments of this post or opposes to it before that date, the actual Team Reaps will continue on their role until the end of 2025. This will save the time inverted in putting together the election again if nobody else is interested in the position.

Netherlands was held last weekend and two of the team reps (and other team members) assisted so they could share any update it happened during the event.

  • It has been opened an issue to proceed in the inclusion of our ‘Sustainable Events Handbook’ in the ‘WordCamp Organizer Handbook’. The issue explains what it is done until now and what we need from the team now (a review of the content to get the final proposal for that handbook).
  • It has been opened another issue to create 12 tips for sustainable events to be included one by one in 2025 monthly newsletters to events organizers. This was suggested by @unintended8 (@ciudadanob in Slack) and @celigaroe has created a proposal (linked in that issue) to ask for the Team’s feedback on those tips.
  • Team Reps voting/renewing for 2025. In the thread of the previous Slack meeting the only feedback was the suggestion of maintaining the actual team reps for the next year.

WP Sustainability Team Roadmap 2024

The WordPress Sustainabilitysustainability Meeting the needs of the present without compromising the ability of future generations to meet their own needs Team has defined a roadmap for their activities during the final months of 2024. It touches on the 3 topics the team is prioritizing: environmental, social and financial sustainability.

A. Environmental: 

  1. Develop guidelines (as a handbook) for making WordPress websites more sustainable.
  2. Start the development of the WordPress Sustainability PluginPlugin A plugin is a piece of software containing a group of functions that can be added to a WordPress website. They can extend functionality or add new features to your WordPress websites. WordPress plugins are written in the PHP programming language and integrate seamlessly with WordPress. These can be free in the WordPress.org Plugin Directory https://wordpress.org/plugins/ or can be cost-based plugin from a third-party that reports on your website’s sustainability and encourages you to make it more sustainable.
  3. Applying feedback received on the Sustainable Events Handbook and creating awareness on the handbook’s existence.

B. Social:

  1. Launch demonstrations of CoreCore Core is the set of software required to run WordPress. The Core Development Team builds WordPress., Training, and Community team contributor dashboards by WCUS.
    • Evaluate, then expand to additional teams if interest suits.
  1. Identify who is available and interested in mentoring for the next new contributor mentorship cohort and identify areas they can onboard, including ways new contributors can see an impact during the cohort.
  2. Determine if/how we can work with the Contributor Working Group on contributing to and extending Five for the Future (5ftF); revisit and formulate next steps.
  3. Support the development of the Global Contributor Handbook.
  4. Share findings of the contributor dashboards with 5ftF organizations and how they can use the data in decision-making.

C. Economic:

  1. Lead by example. We want to get funding for our contributions (for points A1 and A2).
  2. Find out how we can partner with organizations outside the WP ecosystem that deal with the same challenges within the world of open-source. As discussed here and here.
  3. Determine if we can leverage GitHubGitHub GitHub is a website that offers online implementation of git repositories that can easily be shared, copied and modified by other developers. Public repositories are free to host, private repositories require a paid subscription. The Sustainability Team’s Handbook for events is here!

The first version of the Sustainable Events Handbook is finally launched! 🎉

Over the past months, members of the Sustainabilitysustainability Meeting the needs of the present without compromising the ability of future generations to meet their own needs Team have been sharing their ideas and experiences on how WordPress community events can be held more sustainably. All this input has formed the basis of the first draft, which eventually became the first version we are excited to announce today. 

As there’s no perfect or defined way of being environmentally sustainable, the current objective of this handbook is to provide organizers and attendees with ideas of how they can contribute to making WordPress events more sustainable. 

Here is what we’ve included in the handbook:

  • Actionable tips for organizers. We know how much effort it takes to organize WordPress events, so we’ve simplified the ways you can make it more sustainable. Our suggestions cover all aspects of the event and include tips for reducing waste, saving energy, promoting eco-friendly practices at the events, and more. 
  • Information for attendees. Whether you want to participate more sustainably, or you’re an organizer seeking ways to raise awareness among attendees – we made a section for you.
  • Flexibility. There are no hard rules, but every suggestion you turn into action is a step forward. We hope this handbook inspires you to help make our WordPress event more sustainable.

To ensure its longevity, the Handbook’s future versions should include information that will help the sustainability of events, not only from an environmental perspective but also from a social and economic one. Project Health Hangouts and Working Group Kickoff

Continuing the efforts to ensure the sustainabilitysustainability Meeting the needs of the present without compromising the ability of future generations to meet their own needs and health of the WordPress project, forming a dedicated working group is now underway. Building on recent discussions from Recognizing Contributions and Acknowledging Challenges and Project Health Dashboards, this group will focus on developing and refining approaches to project health.

This marks the kick-off of the Project Health Working Group, one of the Sustainability team’s key focus areas. The goal is to foster a collaborative environment, gather valuable insights, and develop tools to maintain and improve the project’s health.

We’ll begin by demonstrating the first tool in our trials: Bitergia.

🗣️ These hangouts will allow us to discuss:

  • Team Health: How do we assess the health of various teams in the project and ensure proper calls to contribute?
  • Individual Contributors: Addressing the needs of organization-sponsored, those seeking sponsorship, self-sponsored, and hobbyists.
  • Organizational Stakeholders: Providing data for organizations to consider how they sponsor and staff contributors.
  • WordPress Project Stakeholders: Prioritizing the work of various teams within the project.

Looking for feedback

  • Input for the handbook around sustainability. The work to accomplish the deadline of having, the first version, of the handbook ready for the WCEU it’s ongoing. There is now a final version document that it’s been polished, section by section, to add it to the Sustainability Handbook. It was decided to start migrating the content of the sections GithubGitHub GitHub is a website that offers online implementation of git repositories that can easily be shared, copied and modified by other developers. Public repositories are free to host, private repositories require a paid subscription. GitHub introduced the concept of the ‘pull request’ where code changes done in branches by contributors can be reviewed and discussed before being merged be the repository owner. https://github.com/ once they are ready, to speed up the process.
  • Project Health Dashboards and Recognizing Contributions and Acknowledging Challenges.

Looking for volunteers

  • Contributors are welcome to help meet the deadline for the publication of the first version of the Handbook.
  • Create meeting agenda template  (you can also check the last proposal here). The new format for the meetings has been started to apply and the idea it’s to continue polishing it.
  • Input for and comments on the features for a sustainability plugin. It’s still needed to decide the approach to create the pluginPlugin A plugin is a piece of software containing a group of functions that can be added to a WordPress website. They can extend functionality or add new features to your WordPress websites. WordPress plugins are written in the PHP programming language and integrate seamlessly with WordPress. Open discussion

  • Some topics were suggested to be treated on WCEU Contributor Day. A summary of them would be:
    • Sustainability Team badges (create them with the Design Team collaboration)
    • Review on the Event’s Handbook (editing, correcting and collecting in situ feedback from organizers, sponsors, attendees, etc.).
    • Create a draft to collect information about the efforts made by the WCEU’s organizers in favor of environmental sustainability.
    • WordPress Sustainability plugin (decide how to move forward, engage with the Performance Team to seek collaboration). Get funding for the plugin developer?
    • Explore how we can enlarge the team and number of contributors joining us.
    • Explore team metrics that can help on the context of the Project Heath.
