Updates from Volunteers

@sunsand187 is working on getting a handbook shell built. This will make it easier to house documentation.

The goal is to spend about 12 months creating, documenting and polishing the documents and then creating a handbook on the https://make.wordpress.org/community/ site for all organizers to easily access.

Needs for Researching

We have several camps looking to add on kids events in various states and need some help vetting laws and requirements.
We need to document a process for new camps that will provide easy to follow steps.

@michelebutcher-jones is going to work through some of the Illinois, Kentucky, Indiana and Missouri laws and report back in the coming weeks.

@sunsand187 mentioned having a grading system to eventually rate how easy it is to hold a kids event in a particular state, but also said that is a ways down the road.

Meeting Time Change Request

The meeting will now be held at 2000UTC on the Second and Fourth Thursdays of the month. This is to not conflict with the community-team meetings.

Translations and Editing

We still need editors and researchers. If you know anyone who is good with hunting down legal research and making legal speak sound human or if you are good with editing documentation we could use your help.

Please comment if you are available to edit and/or do some research.

Project Management Information

So I know a lot of people expressed interest but not everyone made it to todays meeting. I am sure more people will be getting involved over time. I did create a TrelloTrello Project management system using the concepts of boards and cards to organize tasks in a sane way. Board so that we have some jumping off points for anyone to just dive in and start on micro pieces.

Concerns about Vetting Volunteers

The question is from @sbrinley “Although we ask all our volunteers to abide by the general code-of-conduct, it seems like it would be good to have a code-of-conduct specifically for KidsCamp volunteers. A few policies/guidelines on how to interact properly with children and whatnot.

Also, I’ve been pondering what a secondary vetting process for KidsCamp volunteers would look like.”

On the one hand, I see the point of having a tighter code of conductCode of Conduct “A code of conduct is a set of rules outlining the norms, rules, and responsibilities or proper practices of an individual party.” - Wikipedia, but since WordCamps are to be family friendly events, every volunteer/speaker/session should all follow the same guidelines.

On the legal side, I suppose that may differ by location and also based on if the parents will be attending with the kids in the same room.

I agree… I will be working with the deputiesProgram Supporter Community Program Supporters (formerly Deputies) are a team of people worldwide who review WordCamp and Meetup applications, interview lead organizers, and keep things moving at WordCamp Central. Find more about program supporters in our Program Supporter Handbook. to make sure we are good and don’t need something more specific.
I feel like the overarching message in our current CoCCode of Conduct “A code of conduct is a set of rules outlining the norms, rules, and responsibilities or proper practices of an individual party.” - Wikipedia is pretty solid, but it is not overly clear on some things like language.

Three Types of Documentation Needed

We have 3 things that need documenting:

  1. Activities/Supplies
  2. Legal
  3. Event Guidelines

Activities Documentation

@sunsand187 “I think it would be best if we break it up into smaller sections. So for example… the brainstorming activity as 1 activity and the the blog building as a second activity. This will make it easier to document and easier for organizers to pick and choose how their event will be laid out”

New Idea: Tried and Failed Document. This would be a place for organizers to dump ideas they tried but didn’t work for their community and why.

Huge Thank you to @petya for building an amazing template for documenting different kinds of events. This event documented is a great half day event for WordCamps to get started.

Legal Documentation

The 2nd type of documenting we need to do is much more research based… We need to gather the legal limits of all 50 states to start and then slowly move outward.

@kimberly.lipari “Maybe starting with a defined question(s) could make that less intimidating. If I knew “what age can you leave your child alone at a public event in Louisiana” for example, I would feel better about knowing where to start.”

@melindahelt “Yes, I agree if we can have a list of questions and perhaps make a spreadsheet with a list of states and folks can take one and hit google”

  1. Do I need to have a teacher present?
  2. Do we need to run background checks?
  3. At what age can parents not be required to stay?”

@kimberly.lipari “Also, maybe reach out to local organizers first? They may have a legal affiliation that would be willing to donate the time to find this stuff.”

Event Guidelines Documentation

These guidelines will include all the ticketing and organizer related information that makes it easier to start and run the programs. Information like questions to ask during ticket sales, checklists for registration and organizer checklists. This should be able to be used for any program type with minor tweaks for varying programs, but the bulk should be applicable to all.

Testing and Implementation

@sunsand187 “There are over 150 WordCamps across the world… any of them can be part of the testing if they desire.”

@melindahelt “Also, while the aim is to offer this at a WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more., if you are part of a community that doesn’t have a WordCamp, there may be ways to test parts of this at a meetupMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook. as well (at least, I’m hopeful for that as that might be more doable for me).”

Also, if there is a community that has done one of these kinds of events before we would love to have them contribute to the docs.”

The only other thing is translations… I know we have a couple people who have volunteered… but if you are multi-lingual or are connected to the Polyglots feel free to let us know. We would love to get things translated into a bunch of languages.
