Three Types of Documentation Needed
We have 3 things that need documenting:
- Activities/Supplies
- Legal
- Event Guidelines
The goal is to spend about 12 months creating, documenting and polishing the documents and then creating a handbook on the https://make.wordpress.org/community/ site for all organizers to easily access.
Activities Documentation
@sunsand187 “I think it would be best if we break it up into smaller sections. So for example… the brainstorming activity as 1 activity and the the blog building as a second activity. This will make it easier to document and easier for organizers to pick and choose how their event will be laid out”
New Idea: Tried and Failed Document. This would be a place for organizers to dump ideas they tried but didn’t work for their community and why.
Huge Thank you to @petya for building an amazing template for documenting different kinds of events. This event documented is a great half day event for WordCamps to get started.

Legal Documentation
The 2nd type of documenting we need to do is much more research based… We need to gather the legal limits of all 50 states to start and then slowly move outward.
@kimberly.lipari “Maybe starting with a defined question(s) could make that less intimidating. If I knew “what age can you leave your child alone at a public event in Louisiana” for example, I would feel better about knowing where to start.”
@melindahelt “Yes, I agree if we can have a list of questions and perhaps make a spreadsheet with a list of states and folks can take one and hit google”
@sunsand187 “some considerations would be:
- Do I need to have a teacher present?
- Do we need to run background checks?
- At what age can parents not be required to stay?”
@kimberly.lipari “Also, maybe reach out to local organizers first? They may have a legal affiliation that would be willing to donate the time to find this stuff.”

Event Guidelines Documentation
These guidelines will include all the ticketing and organizer related information that makes it easier to start and run the programs. Information like questions to ask during ticket sales, checklists for registration and organizer checklists. This should be able to be used for any program type with minor tweaks for varying programs, but the bulk should be applicable to all.
Testing and Implementation
@sunsand187 “There are over 150 WordCamps across the world… any of them can be part of the testing if they desire.”
@melindahelt “Also, while the aim is to offer this at a WordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more., if you are part of a community that doesn’t have a WordCamp, there may be ways to test parts of this at a meetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook. as well (at least, I’m hopeful for that as that might be more doable for me).”
@sunsand187 “This should be doable as a Workshop OR in conjunction with a WordCamp. The key here is to get feedback from the community
Also, if there is a community that has done one of these kinds of events before we would love to have them contribute to the docs.”
Translations and Editing
The only other thing is translations… I know we have a couple people who have volunteered… but if you are multi-lingual or are connected to the Polyglots feel free to let us know. We would love to get things translated into a bunch of languages.

Project Management Information
So I know a lot of people expressed interest but not everyone made it to todays meeting. I am sure more people will be getting involved over time. I did create a Trello Project management system using the concepts of boards and cards to organize tasks in a sane way. Board so that we have some jumping off points for anyone to just dive in and start on micro pieces.
