Event Execution

To ensure a smooth and successful WordPress Campus Connect event, consider these key points for event day facilitation.

Pre-event

  • Team Assembly: Recruit and organize a team of WordPress experts and session facilitators well in advance. These individuals will be crucial for delivering effective workshops and training. Utilize the WordPress community and local groups to find experienced volunteers.
  • Track Registration: Encourage all students to register for a free ticket through the event website. This ensures accurate attendance tracking and helps with post-event certificates, as only registered attendees can receive them. Registration also prompts students to create or use their WordPress.orgWordPress.org The community site where WordPress code is created and shared by the users. This is where you can download the source code for WordPress core, plugins and themes as well as the central location for community conversations and organization. https://wordpress.org/ accounts, which help them stay connected to the community and prepare them for future contribution activities.
  • Session Schedule and Logistics: Finalize the session schedule and logistical details (room setup, AV equipment, etc.) before the event day. Clearly communicate the schedule to all facilitators and participants.
  • Facilitator Briefing: Conduct a briefing session with all facilitators before the event to review the agenda, session content, and any specific instructions. Ensure everyone is familiar with their roles and responsibilities.

During the Event

  • On-Site Support: Have dedicated team members available throughout the event to provide on-site support for technical issues, participant questions, and general coordination.
  • Expert Availability: Ensure WordPress experts are available to assist participants with technical issues or advanced questions. Designate specific times or areas for expert consultations.
  • Material Distribution: Prepare and distribute all necessary materials (handouts, digital resources, etc.) to participants in a timely manner. Ensure the materials are accessible and easy to understand.
  • Engagement and Interaction: Encourage engagement and interaction during sessions. Facilitators should use interactive methods, Q&A sessions, and practical exercises to keep participants involved.
  • Feedback Collection: Plan for collecting feedback from participants at the end of the event using this feedback form. This feedback will be valuable for improving future WordPress Campus Connect events.
    1. If your target language is not available for the survey, you can use the browser translation tools to translate the survey to your preferred language. Please also make a translation request as well so that the community team can work on a translated survey.
  • Community Building: Ensure accessibilityAccessibility Accessibility (commonly shortened to a11y) refers to the design of products, devices, services, or environments for people with disabilities. The concept of accessible design ensures both “direct access” (i.e. unassisted) and “indirect access” meaning compatibility with a person’s assistive technology (for example, computer screen readers). (https://en.wikipedia.org/wiki/Accessibility) and inclusivity throughout the sessions., and foster a sense of community among participants. Encourage networking and collaboration during breaks and group activities.

Post Event

Once the event is over, we highly encourage you to jump into the WordPress.org Slack and share your highlights from the event in the #campusconnect channel. We’d love to celebrate your wins, learn from your experiences, and also help with any future planned sessions.

Issuing a certificate of participation

Congratulations on organizing a successful and impactful WordPress Campus Connect event! To acknowledge the successful organization and impact of WordPress Campus Connect events, and to provide students with a sense of accomplishment, event organizers have the opportunity to create and distribute personalized certificates of participation.

A customizable certificate design is available in the Figma file, allowing organizers to personalize each certificate with the event details, the student’s name, and their own signature.

For enhanced prestige, certificates can be signed by Mary Hubbard, WordPress Executive Director. To facilitate this:

  1. Complete the Figma certificate file with all event details (date of emission, campus name)
  2. Instead of Event Coordinator, edit this text to Executive Director
  3. Leave the student name section blank
  4. Submit the certificate as a PDF to support@wordcamp.org (Subject: [Campus Connect] Certificate of Completion) for review and signature.

Upon receipt, program managers will confirm the details and ensure Mary Hubbard’s signature is securely added via Dropbox Sign, enhancing the commemorative value of the certificates.
