Global Sponsorship – Monthly Report Administration

Each month, a community representative is expected to send a report showing all WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. events that are scheduled or are in planning. This allows the sponsors time to make plans for travel or swag shipments.

  1. Add a calendar reminder for yourself to send the report near the end of every month
  2. Go to the Reports section in the WordCamp Central Dashboard and select the report: WordCamp Status
  3. Enter a date range that starts in January of the year prior to the current Global Sponsorship Program year (January 1, 2023 for the 2024 Global Sponsorship program for example). This will ensure that all events created in the prior year for the current year are captured in the resulting list. The end date should be December 31 of the current program year.
  4. Select Status (optional): Any
  5. Click Export resulting WordCamps as CSV button
  6. Select Available Fields: Name, Start Date, End Date, Location, URLURL A specific web address of a website or web page on the Internet, such as a website’s URL www.wordpress.org, E-mail Address, Twitter, WordCamp Hashtag, Number of Anticipated Attendees, Status, Contributor DayContributor Day Contributor Days are standalone days, frequently held before or after WordCamps but they can also happen at any time.   7. Click Export CSV button
  8. Open spreadsheet and sort by status.
  9. Delete all rows with status of: Approved for Pre-Planning, Pending Agreement, Cancelled, Declined, Interview/Orientation Scheduled, More Info Requested, Needs E-mail Address, Needs Orientation/Interview, Needs Vetting
  10. Sort by Start Date. Delete any prior year events. Delete all events that relate to the upcoming year. (if no start date, Sort by URL and delete events with the future year in their URL)
  11. Delete lines with Flagship events (e.g., WCEUWCEU WordCamp Europe. The European flagship WordCamp event., WCUSWCUS WordCamp US. The US flagship WordCamp event., WC Asia, etc.)
  12. Sort by Start Date and export CSV (naming convention: WordCamp-Details-Global-YYYY-MMM-DD.csv)
  13. Add a copy of the report to the following Google Drive: https://drive.google.com/drive/folders/1K-z29G72omHEiSfURY2MMBrr85X29-ac?usp=sharing
  14. Email a copy of the report to all Global Sponsor representatives. (Example email copy)
