Capturing videos of WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. presentations should be one of the organizers higher priorities. The video is how great knowledge will live on and be shared with the world on WordPress.tv. To help organizers with recording, we have a handful of camera kits that WordCamps happening in US, Western Europe and Canada can borrow.

Starting today, we are streamlining the process of the camera kits distribution. As a part of this, camera kits need to be requested by WordCamp organizers themselves. Requests should be done as soon as the organizers know they will need the camera kits and at latest one month prior to WordCamp. Otherwise, we cannot ensure that the request can be fulfilled.

Camera kit request form is added to the WordCamp Organizer Handbook.

At the moment, camera kit requests are coordinated in HelpScout by:
US – @tashan
Europe – @sippis
Canada – @mikeyarce

I think this is a great improvement on the process — thank you to everyone who worked on this!

Would it be helpful to set up an automated reminder email that talks about videography? We don’t currently have a way to send automated emails to camps based on geography, but we might be able to add that feature to the “Organizer Reminders” pluginPlugin A plugin is a piece of software containing a group of functions that can be added to a WordPress website. They can extend functionality or add new features to your WordPress websites. WordPress plugins are written in the PHP programming language and integrate seamlessly with WordPress. These can be free in the WordPress.org Plugin Directory https://wordpress.org/plugins/ or can be cost-based plugin from a third-party.

Alternately, we could create a more general email reminder, maybe reminding organizers about videography in general, with links to the existing documentation and then telling people about the “request a month in advance” expectation. What do you think?

Reminders” Dashboard WidgetWidget A WordPress Widget is a small block that performs a specific function. You can add these widgets in sidebars also known as widget-ready areas on your web page. WordPress widgets were originally created to provide a simple and easy-to-use way of giving design and structure control of the WordPress theme to the user. would be good. If we set up an automated email reminder, I don’t think it needs to be geography wise – the more general message would be an improvement also.
  
  In US @tashan and I think also @mikeyarce in Canada have reached out to every WordCamp to ask if they need camera kits. In EU that’s not the case. In my conversations with Tashan and #wptv team, I understood that the manual reach out is awfully time-consuming and not every WC want’s the camera kits. A recent chat with the #wptv team also made me aware that camera kit requests are going down (at least in US) because many WC’s are now hiring professional A/V services. Is this because of it takes a great burden from the team or because organizers do not know that we have camera kits? I don’t know, but automated reminders would ensure that (almost) every WC team is aware that we have camera kits for their use.
