A couple of months ago, there was a Slack conversation about sharing aggregate tee-shirt sizes with sponsors in order to promote inclusion and minimize waste (https://wordpress.slack.com/archives/events/p1467075084000713).

The folks at Central have been brainstorming some ideas and think that a page on central.wordcamp.org (available to sponsors, but not available in navigation) will be our easiest solution to this.

We suggest that the page have the following information for each WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more.:

WordCamp name and date
Current tee-shirt size counts
# of tickets available
# of tickets purchased
A mailto: for the city@wordcamp.org email addresses

We don’t want to add additional work for organizers (hence the page) but we also want to be aware of the information that attendees trust us with, so there would be no information about individual attendees (or groups of attendees) listed on the page.

Do you think this type of data would cover it, or should we add anything else? Drop your answers in the comments!

I have the numbers for WCATL 2016 at hand and certainly open to sharing the data. We’ll be using that information to budget our order in 2017. As side note… I found Andrea’s math for projecting the number of shirts to order very helpful.

Makes sense to give sponsors anonymized camp specific info when it’s available. I could see being asked to also put other anonymized stats when available… but leave that can of worms for another day.

Related, as a past first event in a region organizer… it would also have been helpful to have an idea of average t-shirt break down was for other camps. In our case we unexpectedly had almost dozen late signups that all wanted Women’s XL shirts… which was way out of line with what we forecast based on early signups. We’d ordered 10-20% extra of each size, but when we put that in there were only a few people signed up requesting a Women’s XL shirt (there were enough late signups that we ended up putting in a second t-shirt order in, but might have been able to avoid that with better guessing).

  Well, that would be another advantage to having all this data on a page that organizers could also access. Good point!

As a first year WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more., we had local sponsors (new to the WC world) ask us about types of attendees. We honestly had no idea if we would attract more users, developers, in-between folks. So we asked those question on the ticket form and will offer that information to sponsors as well. Specifically, a local hosting company wanted to be prepared if they would be meeting mostly users, mostly dev, etc.

We are going to be able to say: With 100 tickets, X selected they are a WP User, X selected they are a WP dev, etc. We allowed people to check all relevant boxes and included: Developer, Designer, Blogger, WordPress User, Project Manager.

I know not all camps collect this information, but it may be useful for overall planning.
