Events Team Update for 5/30/2013

Past month:

  • Worked with the 24 WordCamps in planning and 19 WordCamps in pre-planning
  • Approved for pre-planning: Grand Rapids, Kenya, Cape Town, Nepal, Porto, Malaga, Orlando, Providence, Sofia, Vegas, and Lithuania
  • Published the dates for WordCamps Boston, Grand Rapids, Porto Alegre, Birmingham, Baltimore, and Russia
  • Published 87 WordCamp videos
  • Got approval on the Organizer Mentorship program
  • Accepted another Multi-Event Sponsor – WPML – and fielded inquiries from three more
  • Began training Cami Gebhardt, a new Automattic employee who will be helping at WordCamp CentralWordCamp Central Website for all WordCamp activities globally. https://central.wordcamp.org includes a list of upcoming and past camp with links to each., largely with handling financial coordination for WordCamps running the money through the Foundation

Proposal: Merge /Community and /Events

As mentioned in the update I posted earlier, the community outreach group has wound up mostly being connecting with contributors from other groups, with a giant amount of overlap with the Events group. Since meetups and WordCamps are our biggest outreach avenue, that’s where a lot of the /community type stuff happens. @andreamiddleton and I have been talking for a couple of weeks about the possibility of merging our groups and if that would be a good idea or not. We think it would be, so this post is to see what you guys think.

Here’s why we think it would be a good idea:

  • As mentioned, Meetups and WordCamps are our biggest outreach activity, and those (along with the wp10 celebrations) have already crossed both groups quite a bit.
  • Making that overlap official would make it a little easier to share resources and time.
  • Both teams lost their backup rep. On the /community side @sabreuse agreed to take over for @andrea_r, but there’s no replacement yet in /events for @jorbin.
  • The community team touches tons of other groups, but doesn’t always have much to report, since it’s theoretically being reported through the group where the action happens (gsoc = coreCore Core is the set of software required to run WordPress. The Core Development Team builds WordPress., for example).
  • Some of the projects that started as events-team-specific have morphed into community outreach (like having people submit tutorial videos to wordpress.tv that aren’t coming from events) and vice-versa (diversity outreach turning into locally-organized events that would benefit from the events structure). It just keeps getting clearer that ‘growing the community’ is the shared goal, and event planning is one of several ways to get there.
  • One less group update, one or two people less to worry about in a hangout or at a summit meeting. 🙂

Here’s the proposal:

  • Merge the /community and /events groups into one contributor group.
  • Keep the blogs separate for now, but merge them once we have a theme that will better accommodate sections to keep the threads organized.
  • Ditch me as team repTeam Rep A Team Rep is a person who represents the Make WordPress team to the rest of the project, make sure issues are raised and addressed as needed, and coordinates cross-team efforts. so I can focus on coordinating between teams, and keep Andrea Middleton and Amy Hendrix as team reps. (Both Andrea and Amy are on board with this idea.)

Please Vote: WC Organizer Program Proposal

Hi everyone. @andreamiddleton posted a proposal from the Events team a while back, but hasn’t gotten any responses. It’s long, so I’m not too surprised it got skipped over, but it is important that we get your buy-in/sign-off as a group on the idea. For the tl;dr version:

  • Instead of Andrea reviewing every WC application and guiding every organizer though the organizing process, we’d have a team of volunteers sharing the work.
  • There would be weekly irc office hours for help and feedback.
  • There’s be a blog or forum for ongoing discussion.
  • After the WC is over, organizers would review their mentors/guides so if anyone isn’t doing a great job we can give them support to do better.

Sound okay? A simple yes/no is all we need unless you have specific concerns.

Events Group Update for 4/25/2013

Oh hai! We suck and have not posted an update for a month. 🙁 I swear on a free copy of WordPress that we’ve been busy, though.

Past month:

  • Launched the Multi-Event WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Sponsorship program. To date, BlueHost has come on as a Pillar in the US/Canada and a Champion everywhere else for Q2, and DreamHost has asked to sponsor as a Champion in the US from May-December, w00t! Looking like GoDaddy will also sponsor this way soon.
  • Posted the WordCamp organizer mentorship program proposal for team reps to review.
  • Review Guidelines group has continued reaching out to survey respondents, specifically about ticket prices, and is close to having a recommendation for the Team Reps on that guideline.
  • WordPress.tv published 84 videos
  • Approved the following WordCamps for pre-planning: Albuquerque, Tokyo, Grand Rapids, Birmingham, Kenya, Cape Town, and Porto
  • The following WordCamps set their date: Kobe, Portland, Buffalo, and Vancouver.
  • WordPress 10th Anniversary save the date and silvery grey tees
  • Set up a DocuSign instance for WordCamp organizer/speaker/sponsor/volunteer signatures and Speaker AV releases
  • Andrea got and recovered from pneumonia

Coming week:

  • Start sending out Docusign emails for WordCamp organizer/speaker/sponsor/volunteer signatures and Speaker AV releases
  • Reconnoiter with some groups that have fallen quiet
  • Many, many, many vendor payments for WordCamps in April/May

Proposal to the Team Reps: Multi-Event WordCamp Sponsorship Program

There are many large companies (hosting providers, etc) that want to sponsor every WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy.
